Handling personal information
TRSPsychology is committed to protecting the privacy and confidentiality of personal information. This policy explains how the practice collects, holds, uses and discloses personal information in providing psychological services.
The practice is subject to the Privacy Act 1988 (Cth), the Australian Privacy Principles and applicable Victorian privacy and health-records legislation.
Personal information collected
Information may include your name, address, contact details, date of birth, Medicare and private health information, referrals, information relevant to assessment or treatment, appointment notes, psychological assessment information and correspondence from other practitioners or relevant parties.
How information is collected
Information may be collected directly during consultations, through intake forms and the practice-management system, and through email or telephone contact. Relevant information may also be received from referring health practitioners or other parties involved in your care, with consent or where otherwise permitted by law.
Why information is collected and used
Information is used to understand your needs, plan and provide psychological services, maintain clinical records, communicate about appointments, administer agreed funding arrangements and meet professional and legal obligations.
If information necessary to provide psychological services is not supplied, the practice may be unable to provide the service or the service may be affected.
Storage and security
Clinical records, appointments and associated practice information are managed through Zanda. Access is limited to the psychologist and authorised service providers who require access to operate the practice.
TRSPsychology takes reasonable steps to protect information from misuse, interference, loss, unauthorised access, modification and disclosure.
Clinical records are retained for the periods required by law and any other lawful retention needs. Records are securely disposed of when they are no longer required to be kept.
Telehealth
Information associated with telehealth is handled under the same privacy and confidentiality requirements that apply to other psychological services. Clients are encouraged to participate from a private location.
Website and routine communication
The website provides general information about the practice and access to booking information. It is not intended for submitting detailed clinical or sensitive personal information.
Email and telephone may be used for routine administration. Please avoid sending detailed or highly sensitive clinical information by ordinary email unless this has been discussed with the psychologist. An appropriate secure method may be arranged where needed.
Website cookies and technical information
This website is hosted by Squarespace. Technical information, such as an IP address, browser and device details, pages requested and access times, may be processed to deliver and secure the website and provide limited usage statistics.
Non-essential Squarespace cookies are restricted and the detailed visitor activity log is disabled. Essential cookies needed for the website to function may still be used. You can also manage cookies through your browser settings, although blocking essential cookies may affect functionality.
Following a booking link takes you to Zanda, which operates separately from this website. External services may use their own cookies and process information under their own privacy policies.
Service providers and overseas handling
The practice uses service providers for clinical records, booking, email, payments and telehealth. Information needed for these functions may be stored or processed overseas. Overseas privacy laws may differ from Australian laws.
Zanda states that Australian-account customer data is stored and backed up in Australia. Limited authorised support access may occur from the United Kingdom or United States. Connected services, including SendGrid for email delivery, Stripe for payments and Zoom for integrated telehealth, may involve overseas processing.
Squarespace may process website visitor information on servers in the United States. Google Workspace is used for practice email; email contents and related information may be processed wherever Google and its service providers operate, including the United States, India and European countries. Stripe may handle payment and related contact information overseas, including in the United States and India.
These locations are not an exhaustive list: processing and support locations vary by service and may change. The provider information below gives further details. TRSPsychology takes reasonable steps required by applicable privacy law when arranging overseas handling. You can contact the practice to discuss these arrangements or any privacy concerns before providing information.

Confidentiality and disclosure
Information gathered during psychological services is treated as confidential. Information may be shared with your consent, including with your GP, another treating practitioner, a family member, an authorised funding organisation or another person you have authorised.
Information may also be disclosed where required or authorised by law, including in response to a court order or subpoena, a mandatory reporting obligation, or applicable circumstances involving a serious threat to life, health or safety.
Professional consultation and supervision
Professional consultation or supervision may form part of maintaining appropriate standards of care. Reasonable steps will be taken to protect your identity and de-identify information wherever possible.
Access and correction
You may request access to personal information held about you or ask for inaccurate, out-of-date or incomplete information to be corrected. Requests can be made in writing to TRSPsychology and will be addressed within a reasonable period.
Access may be restricted in limited circumstances permitted by law. Where a request is declined, the practice will explain the reason and available complaint options where required.
Data breaches
If the practice becomes aware of unauthorised access, disclosure or loss of information, it will respond under its data-breach procedures and applicable privacy obligations, taking reasonable steps to minimise harm.
Privacy concerns and complaints
To raise a privacy concern or complaint, email contact@trspsychology.com.au. Tyson will acknowledge your complaint, review the relevant information and explain the outcome and any proposed steps to address it. If more time is needed, he will let you know.
If the matter remains unresolved, you may contact the Office of the Australian Information Commissioner. Health-information privacy concerns within Victoria’s jurisdiction can also be raised with the Victorian Health Complaints Commissioner.
